AI Apply Privacy Policy

1. What we collect

Account details: your name, email address and sign-in details.

Your CV: a PDF you upload, or a CV made from your profile page, and the profile we read from it.

Your application answers: contact details, location, work authorization and sponsorship, notice period, salary expectation, links, and any optional answers you choose to give (for example equal-opportunity questions). Only give what you're happy to share with employers.

Job preferences: the roles, places, work style and number of applications a day you choose.

Applications: the postings, what was filled in on each form, the employer's confirmation, match scores and costs.

Your application inbox: emails employers and their application systems send to the address applications are made from, such as verification codes, confirmations, interview invitations and rejections.

Employer site accounts: where a site needs an account, the account email and a password we generate, stored encrypted.

Payments: amount, status and transaction reference. Card and wallet details are entered on Paymob's page; we never see full card numbers.

Technical and usage data: device and browser, IP address, pages visited and actions taken, used for security and to improve AI Apply.

2. How we use it

To find jobs and apply for you (contract): we compare postings with your preferences and CV, choose which to apply to within your settings, fill in each employer's form with your details and submit it.

To keep applications moving (contract): we read the verification codes and links in your application inbox and enter them, and tell you about interviews and replies.

To keep AI Apply secure and reliable, and to fix problems (legitimate interest).

To understand and improve how people use AI Apply, and to measure our advertising, with analytics and the Meta Pixel on our own pages (legitimate interest; you can block these in your browser).

To meet legal, tax and accounting obligations (legal obligation).

We don't sell your personal data.

3. Automated decisions

Choosing which jobs to apply to, and filling in forms, is done automatically at your request and within the limits you set. You can pause autopilot, change your settings, review every application report, and answer questions yourself at any time. Nothing we do decides whether you get a job; employers make that decision.

4. Who receives your data

Employers: when we apply, your CV, contact details and answers go to the employer and the application system they use, exactly as you provided them. Their own privacy policies then apply.

Service providers acting for us: Browser Use (the cloud browser that fills in application forms, and its AI model providers), Google (Gemini AI for reading your CV and classifying application emails; Google Cloud hosting), Supabase (database and files), Vercel (website hosting), Apify (job search, which receives only the role and place you search for), Amazon SES and our mail server (email), Paymob (payments), PostHog (product analytics) and Meta (advertising measurement).

We ask AI providers not to use your data to train their models, and we only send them what each task needs.

5. International transfers

Some providers store or process data outside Egypt, including in the European Union and the United States. We use providers with strong security and contractual protections and rely on the permissions available under Egyptian law.

6. How long we keep it

Your CV, answers, preferences, applications and application inbox: while your account is active. When you delete your account, they are deleted.

Employer site accounts we created for you stay on the employer's site; you can take them over with the site's password reset or ask the employer to delete them.

Payment records: as long as tax and accounting law requires.

Backups may hold deleted data for a limited time until they're overwritten.

7. Your rights

You can ask for a copy of your data, correct it, delete it, object to or restrict some uses, and withdraw consent. Many of these you can do yourself in your dashboard and account settings; for the rest, email us. We may need to confirm your identity first.

You can complain to Egypt's Personal Data Protection Center. If you live in the UK or the EU, you can also contact your local data protection authority.

8. Security

We use encryption in transit, encryption at rest for employer-site passwords, access controls and rate limits, and we limit who can see your data. No system is perfectly secure; if a breach affects your personal data we'll tell you and the authorities as the law requires.

9. Children

AI Apply is for people aged 18 and over.

10. Changes

We'll update this policy when AI Apply or the law changes and change the date at the top. For significant changes we'll tell you by email or in your dashboard before they take effect.
